Inventory management & physical inventory

Goods movements, stock types and the S/4HANA material-document model — plus counting stock the auditors will trust.

ScopeCovers IM at storage-location level. Bin-level stock in EWM is covered in the EWM guides.
01

Goods movements & movement types

Every receipt, issue and transfer is posted with a movement type that drives quantity update, value update, account determination (transaction/event key) and screen fields. The material document records quantities; an accounting document follows when value changes.

  • 101/102 GR for PO (and reversal), 103/105 GR to blocked stock then release.
  • 201 GI to cost centre, 261 to production order, 221 to project, 551 scrapping.
  • 122 return to supplier, 161 return PO item, 501 receipt without PO, 561 initial stock entry.

From the field: Copy standard movement types to the Z-namespace before changing them — never change SAP-delivered movement types directly.

The S/4HANA inventory data model

In SAP S/4HANA, material documents are stored in the single table MATDOC; stock quantities are calculated on the fly instead of being stored in aggregate tables. Classic tables (MKPF, MSEG, MARD, MCHB…) remain readable through compatibility views.

  • Fewer locks — parallel goods movements on the same material are faster.
  • Custom code writing to MARD/MSEG directly must be adapted during conversion.
  • MB-transactions such as MB1A/MB1B/MB1C/MB31 are replaced by MIGO.

03

Stock types & special stocks

Storage-location stock exists as unrestricted, quality inspection or blocked, plus GR blocked stock (valuation-free) and stock in transit. Special stocks are identified by a key: K supplier consignment, O stock at subcontractor, E sales order stock, Q project stock, W consignment at customer, V returnable packaging at customer.

  • QM inspection lots move stock into quality inspection and release it through usage decision.
  • Stock in transit appears for two-step STOs (643/101 or 351/101).
  • Special stocks need the special-stock indicator in MIGO and in reports.

Transfer postings & stock transfers

A transfer posting changes stock type, material number, batch or special stock; a stock transfer moves stock between locations. One-step transfers post issue and receipt together; two-step transfers create stock in transfer.

  • 311 storage location to storage location (one-step); 313/315 two-step.
  • 301 plant to plant (one-step); 303/305 two-step.
  • 309 material to material, 321 QI → unrestricted, 343/344 blocked ↔ unrestricted, 411 K consignment → own stock.

Reservations, returns & reversals

A reservation reserves stock for a future issue and feeds MRP. Returns to suppliers use 122 (with reference to the GR) or a returns PO item (161). Reversals use the paired movement type (102 for 101, 262 for 261).

  • Reservations can be created manually or automatically by production, PM and network orders.
  • Old reservations are flagged for deletion by the 'days in past' setting (report RM07RVER).
  • Cancel a material document in MIGO via 'Cancellation' — it posts the reversal movement automatically.

Physical inventory

Physical inventory compares counted stock with book stock and posts differences (movement types 701/702). Methods include annual (periodic), cycle counting by ABC indicator, sampling and continuous inventory.

  • Create document → print count sheet → enter count → post differences (or MI07 in batch).
  • Posting block on the PI document freezes movements for the item until counted.
  • Cycle counting indicator (A/B/C/D) in the material master sets frequency; MICN generates documents.

From the field: Never post differences before Finance agrees the threshold — set up a reasons-for-difference list so variances are explainable at audit.

Batches, serial numbers & shelf-life data

Batch management tracks homogeneous quantities with their own characteristics (batch classification, class type 023). Shelf-life expiration date (SLED) and minimum remaining shelf life are checked at GR. Serial numbers identify individual units.

  • Batch level: plant, material (standard) or client.
  • Batch determination (strategy types, sort and selection) supports FEFO picking in pharma.
  • Serial number profile defines when serial numbers are mandatory (GR, GI, delivery).

Explain a stock mismatch

MMBE shows 100 units unrestricted, the warehouse counts 92. List the reports, movement types and documents you'd check, and how you would post and explain the difference.

Interview-style questions

Which table stores material documents in S/4HANA?

MATDOC. Aggregates such as MARD are calculated on the fly, and MKPF/MSEG are available as compatibility views.

Difference between 311 and 301?

311 moves stock between storage locations in the same plant; 301 moves stock between plants in one step.

What does movement type 411 K do?

Transfers supplier consignment stock to own stock, creating the liability to the supplier (settled via MRKO).
